Before booking a safari with AA Safaris and Tours Ltd, please read these safari booking terms and conditions carefully. They explain how bookings are confirmed, how payments are handled, what is included or excluded, how cancellations and refunds work, and what responsibilities apply to both the client and the company. AA Safaris and Tours Ltd is a Uganda-based tour operator offering safaris and tours across East Africa, including Uganda, Rwanda, Kenya, Tanzania, Burundi, and Seychelles. By browsing our website, requesting a booking, or confirming a safari through AA Safaris and Tours Ltd, you agree to the terms and conditions stated on this page. A booking becomes confirmed only after AA Safaris and Tours Ltd receives the required deposit or full payment as stated on the invoice. The person making the booking accepts these terms on behalf of all travellers included in the safari.
Safari Booking Terms
AA Safaris and Tours Ltd provides safari planning services, including car hire, accommodation reservations, excursions, activity bookings, permit support, and other travel arrangements. These services may be arranged directly or through trusted independent suppliers. All safari packages are subject to availability and can only be guaranteed after confirmation. Accommodation, flights, gorilla permits, chimpanzee permits, and other limited activities should be booked early, especially during busy travel seasons. Clients must inform AA Safaris and Tours Ltd of any special requests before booking. These may include dietary requirements, medical needs, accessibility requirements, mobility concerns, or other personal requests. The company will try to meet such requests where possible.

Safari Prices and What Is Included
All prices are quoted in United States dollars unless stated otherwise. If a client wishes to pay in another currency, AA Safaris and Tours Ltd will advise on the applicable exchange rate. Safari prices are based on the agreed itinerary and may vary depending on accommodation level, transport, activities, permits, meals, guiding, season, and group size. Most safari prices include accommodation, meals as stated in the itinerary, transport, activities listed in the programme, English-speaking driver guides, and bottled drinking water in the vehicle. Items normally excluded include alcoholic drinks, laundry, domestic and international flights, tips, gratuities, travel insurance, visa fees, and personal expenses, unless stated otherwise on the invoice.
Safari Payment Policy
Payments can be made by card, bank transfer, or cash. Full payment is required at least 45 days before the safari start date, unless otherwise agreed in writing. A booking is considered confirmed once AA Safaris and Tours Ltd receives the initial 30% deposit. For safaris that include gorilla permits, chimpanzee permits, domestic flights, or other non-refundable activities, the full cost of those items may be required in advance, together with the deposit. Bookings made within 45 days of departure require full payment at the time of booking. Card payments may attract a service charge, and the client pays all transfer or transaction costs.
Safari Execution and Wildlife Viewing
All safaris are carried out according to the agreed itinerary at the time of booking. Since wildlife lives in natural habitats, sightings cannot be guaranteed. Clients must follow rules and guidelines issued by national park authorities, rangers, guides, and activity providers. This is especially important during gorilla trekking, chimpanzee tracking, game drives, nature walks, boat safaris, and other wildlife activities. Vehicles are selected based on the safari route and road conditions. AA Safaris and Tours Ltd maintains safari vehicles to support safe travel, but the company cannot accept liability for delays, punctures, breakdowns, or damage caused by poor road conditions, weather, or circumstances beyond its control.
Accommodation During Safari
Accommodation is arranged according to the agreed itinerary and selected budget category. Rooms may be double, twin, single, tented, lodge-based, hotel-based, or bandas, depending on the chosen safari package. Single rooms are available at a supplement. AA Safaris and Tours Ltd reserves the right to change accommodation to an equivalent or better option if necessary. If the client requests an accommodation upgrade, the change will depend on availability, and any extra cost will be paid by the client.
Safari Cancellations and Refunds
All cancellation and refund requests must be made in writing. The effective cancellation date is the date AA Safaris and Tours Ltd receives the written request. Gorilla permits, chimpanzee permits, domestic flights, and some supplier payments are non-refundable once booked. No refunds are made for unused services. This includes missed activities, unused accommodation, meals, transfers, or any services skipped by the client during the safari. Travel insurance is strongly recommended because it may protect travellers against cancellation, medical emergencies, delays, lost baggage, and other travel risks.
Cancellation charges
- 60 days or more before arrival, 10 percent charge
- 59 to 32 days before arrival, 25 percent charge
- 31 to 10 days before arrival, 50 percent charge
- 9 to 4 days before arrival, 75 percent charge
- 72 hours or less before arrival, 100 percent charge
Complaints and Service Feedback
AA Safaris and Tours Ltd aims to deliver safaris satisfactorily and professionally. If a client has a complaint during the safari, they should inform the guide or company representative immediately so that the issue can be addressed as soon as possible. If the matter is not resolved during the trip, the client should submit a written complaint within 30 days after the safari ends. Feedback forms may be provided after the tour to help improve future service delivery.
Liability, Travel Insurance and Force Majeure
Clients are strongly advised to obtain comprehensive travel insurance before travelling. AA Safaris and Tours Ltd provides local evacuation support in case of emergency, but this does not replace full travel insurance. AA Safaris and Tours Ltd makes every effort to ensure that safari services are delivered as agreed. However, the company cannot control services provided by third-party suppliers, even when those suppliers are selected carefully. The company is not liable for loss, damage, injury, delays, or extra costs caused by events beyond its control. These may include flight delays, war, pandemics, epidemics, border closures, road closures, strikes, fires, extreme weather, mechanical problems, government restrictions, or other force majeure events.
Travel Documents, Visas and Health Requirements
It is the client’s responsibility to obtain all documents required to enter and travel within each destination country. These may include passports, visas, medical documents, health certificates, vaccination certificates, travel insurance documents, and any other entry permits required at the time of travel. Clients should seek medical advice before travelling, especially for vaccinations, malaria prevention, and other destination-specific health requirements. All claims and legal matters are subject to the laws and courts of the country where the issue arises.
